Position Summary
This position is responsible for MICE planning at INSPIRE Entertainment Resort, directly reporting to the Assistant Director of MICE Planning. The MICE Planning Specialist handles sales group bookings. This position works closely with the MICE Sales team in contract negotiations and servicing groups as it relates to event services.
The MICE Planning Specialist acts as the liaison between Meeting Planners and the hotel teams. Responsibilities include administering the sales agreement, detailing all Food, Beverage and A/V needs, managing room blocks and pick up, billing instructions and final review. MICE Planning Specialist also are the on-site contacts and are responsible for the smooth execution of all events.
Primary Duties and Responsibilities (including, but not limited to):
• Primary planning efforts are in Banquet Food, Beverage and Meeting Room Rental. Must be able to effectively plan the services of the resort to gain commitment from the customer and work well with all departments in the resort to ensure that services are delivered as communicated to the client. This position will be responsible for overall MICE team revenue goal.
• Service responsibilities include managing the executed sales agreement, detailing all F&B and all other meeting needs, identifying ways to enhance the experience, effectively managing room blocks, understanding group history and pick-up performance, being the group onsite point of contact, conducting all administrative tasks, group billing management and finalizing post-event reports.
• MICE Planning Specialist is expected to assist with team leadership duties such as leading by example in conflict resolution, client management, system administrative management, timely communicating client’s needs to hotel staff, supporting DoMICE and ADoMICE Planning with event coordinator management, meeting services providers such as Audio-Visual partners, outside vendors before, during and after event to ensure a high level of service.
• MICE Planning Specialist is expected to conduct a Sales & Catering system administrative role as a system champion to manage, update and clean up the data to make sure all information is correctly recorded and kept within the system.
• MICE Planning Specialist will be the point of contact for assigned bookings and communicate directly with clients based on the required timeline.
• Upsells guestroom, F&B, meeting room, AV and other revenue items out of the contract during the planning process to maximize the group revenue and contribute to the MICE team revenue goal.
• Creates and issues BEOs and Group rooming list and resume to related department for internal communication and find the most effective way to deliver the group’s requirement to lead the success.
• Attend weekly MICE Communication meeting with relevant departments to present event logistics and details to the internal teams.
• Hosts internal and external Pre-con meetings for VIP groups to ensure both the client and resort team agree to all the group arrangements. Build the client’s confidence to the resort team through external Pre-con meeting by inviting client and resort’s management team.
• Monitors the effective resolution of guest issues that arise as a result of the planning process by creating mechanisms to channel issues to property leadership and/or other appropriate stakeholders.
• Hosts internal and external Post-con meeting for required groups. Especially for the complaint groups to recap the service shortfall and recovery plan so that the team can avoid the reoccurrence of the same issue.
• Responsible for post-event follow ups such as Thank you letter and meeting planner survey and share the comment with the related teams.
• Keep abreast of meeting trends, including Food & Beverage, AV, event technology, tabletops, decoration and useful systems/tools.
• Learn and adopt INSPIRE Entertainment Resort’s service strategy and brand initiative in all aspects of the planning process.
• Interact effectively with guests/clients, sales and kitchen, vendors, competitors, local community, catering associations, and other departments to maintain guest satisfaction.
• Executes exemplary customer service to drive customer satisfaction and loyalty by assisting the customer and monitoring their satisfaction before and during their program/event.
• Retains and develops the relationship with the meeting planners to contribute to the repeat business.
• Serves the customer by understanding their needs and recommending the appropriate features and services that best meet their needs and exceed their expectations, while building a relationship and loyalty to INSPIRE.
Education and Qualifications:
• Bachelor’s degree in business administration, Sales, Marketing or related field
• A minimum of 2-5 years of hotel event sales/event planning or comparable experience preferred
• Refined verbal and written communication skills both in Korean and English
• Proficient in general computer knowledge
